Applihero ("Applihero," "we," "us," or "our") provides AI-powered job application coaching and related tools. This Privacy Policy explains the types of information we collect when you visit our website, create an account, upload career materials, use our AI-assisted features, or otherwise interact with Applihero; how we use and disclose that information; and the choices that may be available to you.
This policy applies to the Applihero website and services that link to it. It does not apply to third-party websites, services, or employers that you may access through links or use independently of Applihero.
1. Information We Collect
Depending on how you use Applihero, we may collect the following categories of information:
- Account and profile information. This may include your name, email address, account identifiers, profile information, authentication status, onboarding progress, and communication preferences.
- Career and education materials. If you choose to provide them, we may collect resumes, transcripts, biographical information, employment history, education history, skills, projects, achievements, and other information contained in uploaded documents or entered into your profile.
- Job application information. We may collect job titles, company names, job descriptions, application questions, draft and final answers, application status, and other information you provide while managing a job application.
- AI conversations and generated materials. We may process and store prompts, chat messages, feedback, resume versions, cover letters, essays, interview-preparation content, generated suggestions, and other outputs created while you use Applihero.
- Files and extracted text. When you upload supported documents, we may store the uploaded file, a reference to the file, extracted text, and derived information needed to provide features such as retrieval, resume optimization, and personalized coaching.
- Authentication-provider information. If you choose a third-party sign-in option such as Google, we may receive information made available by that provider, such as your name, email address, profile identifier, and information necessary to authenticate your account.
- Usage and technical information. We and our analytics or hosting providers may collect information such as pages visited, interactions with the service, referral information, browser and device information, approximate location derived from IP address, IP address, timestamps, performance information, and similar diagnostic data.
- Communications. If you contact us, we may collect the contents of your message and the contact information you use to communicate with us.
2. How We Use Information
We may use information we collect to:
- Create, authenticate, maintain, and secure user accounts.
- Provide personalized resume, cover-letter, application-answer, interview-preparation, and career-coaching features.
- Retrieve relevant information from your uploaded or saved materials so that AI-assisted responses can be tailored to your background and the job you are working on.
- Generate, evaluate, revise, and save application materials at your request.
- Maintain job sessions, document history, application status, and other product functionality.
- Operate, troubleshoot, analyze, and improve the reliability, security, usability, and performance of Applihero.
- Measure website traffic and product usage and understand how users interact with our public site and services.
- Communicate with you about your account, authentication, service updates, support requests, and, where permitted and consistent with your preferences, product communications.
- Detect, investigate, and prevent fraud, abuse, security incidents, and violations of our policies.
- Comply with applicable law, legal process, and legitimate requests from authorities, and protect the rights, safety, and property of Applihero, our users, and others.
3. AI Processing
Applihero uses artificial intelligence services to provide features such as resume feedback, document generation, application coaching, and interview preparation. To provide a requested feature, relevant portions of information you submit may be included in prompts or context sent to an AI service provider, including OpenAI. For example, a resume-feedback request may include resume text, a job description, job information, and relevant context retrieved from your saved background.
AI-generated content may be incomplete, inaccurate, or inappropriate for a particular application. Applihero is intended to assist your own judgment rather than make employment decisions for employers. You should review generated materials before relying on or submitting them.
Resumes and transcripts can contain sensitive information. Please avoid uploading information that is not necessary for job-application coaching, such as Social Security numbers, financial account numbers, passwords, medical information, or other highly sensitive personal information.
4. How We Disclose Information
We may disclose information in the following circumstances:
- Service providers. We use vendors that help us operate Applihero, including providers for authentication, databases, file storage, cloud hosting, analytics, performance monitoring, transactional email, and artificial intelligence. These providers may process information on our behalf to perform their services.
- Examples of current providers. Our technology stack includes Supabase for services such as authentication and data storage, OpenAI for AI-assisted functionality, Google for services such as sign-in and analytics, Vercel for hosting and website analytics or performance measurement, and configured email-delivery providers for account and service messages.
- Legal and safety purposes. We may disclose information if we reasonably believe disclosure is required by law or legal process, or is necessary to protect rights, investigate misuse, enforce agreements, or protect the safety and security of Applihero, users, or others.
- Business transfers. If Applihero is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction subject to applicable law.
- At your direction. We may disclose information when you request or authorize us to do so.
We do not sell personal information for monetary consideration. We do not disclose your resumes, transcripts, application answers, or private AI conversations to employers unless you choose to provide that information to an employer yourself or explicitly direct a feature to do so.
5. Cookies, Analytics, and Similar Technologies
Applihero uses technologies such as cookies, local or session storage, and similar mechanisms where needed for authentication, security, user preferences, and service functionality. Our public site also uses analytics and performance tools, including Google Analytics, Vercel Analytics, and Vercel Speed Insights, which may collect technical and usage information as described above.
Your browser may allow you to delete or block cookies or other stored data. Blocking some technologies may affect login, authentication, preferences, or other product features. Analytics choices and opt-out mechanisms may also be available from the applicable analytics provider or through browser controls.
6. Data Retention
We retain information for as long as reasonably necessary to provide the service, maintain your account, preserve requested documents or job sessions, comply with legal obligations, resolve disputes, enforce agreements, protect against abuse, and maintain appropriate business or security records. Retention periods may vary based on the type of information and why it is processed. When information is no longer reasonably needed, we may delete or de-identify it, subject to backup, security, legal, and technical limitations.
7. Security
We use administrative, technical, and organizational measures intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. However, no internet transmission, cloud service, or storage system can be guaranteed to be completely secure. You are responsible for maintaining the confidentiality of your account credentials and for using a strong, unique password where password login is enabled.
8. Your Choices and Privacy Rights
You may be able to review or update certain profile and account information through Applihero. You may also contact us to request access to, correction of, or deletion of personal information associated with your account. We may need to verify your identity before completing certain requests, and some information may be retained where permitted or required by law.
Depending on where you live and which privacy laws apply, you may have additional rights concerning your personal information, such as rights to know or access information, correct inaccurate information, request deletion, obtain a portable copy of certain information, or object to or restrict certain processing. You may also have the right to appeal a decision regarding a privacy request in jurisdictions where that right applies.

9. Children's Privacy
Applihero is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to Applihero, please contact us so we can review and address the situation.
10. International Users
Applihero and its service providers may process or store information in the United States or other countries where our providers operate. These locations may have data-protection laws that differ from those in your jurisdiction. Where required, transfers of personal information are handled in accordance with applicable legal requirements.
11. Third-Party Services and Links
Applihero may contain links to third-party websites or integrate with third-party authentication, analytics, AI, hosting, or other services. Their handling of information is governed by their own terms, privacy notices, and applicable agreements. We encourage you to review the privacy practices of third parties you choose to use.
12. Changes to This Privacy Policy
We may update this Privacy Policy as Applihero evolves, our service providers or data practices change, or legal requirements develop. When we make changes, we will update the date at the top of this page. If a change materially affects how we use information already collected, we will provide additional notice or obtain consent when required by applicable law.
